Position Summary

This role is an integral member of the EVOVLE UMOJA MN team, working to serve Black youth who are currently in foster, adoptive, or kinship care. This role requires skill in the areas of group facilitation, communication, curriculum design and implementation, as well as providing administrative support in the grant, including family communication, registration, data entry and assistance planning for large scale (100-300 people) camp events. This role requires understanding of programming and will help maintain grant deliverables. This role is great for a detail-oriented and creative person who has experience in youth work, foster care, or child welfare.

Essential Functions

  1. Assist with and plan aspects of Black heritage camp program (a large-scale event for 100-300 people).
  2. Group facilitation of youth programming, and volunteer training.
  3. Recruitment and training of teachers, facilitators, and volunteers (including documentation and compliance), including outreach and tabling events.
  4. Create and maintain relationships with Black communities; build rapport for continued relationships.
  5. Create and establish youth and child-centered classroom curriculum for UMOJA camp and programs held throughout the year.
  6. Work successfully with the UMOJA team to design and lead Afrocentric educational programming for children and youth and ensure teachers and volunteers can deliver curriculum as intended.
  7. Assist in ensuring that grant deliverables are met on a quarterly basis.
  8. Provide administrative support with the camp planning process, complete checklists and ensure deliverables are met.
  9. Maintain timely tracking of family data and systems for organizing data for camps, grant reporting, and site visits. Includes database entry and providing statistics for grant reporting.
  10. Coordinate supplies distribution, restocking, and cleanliness for events, includes resource bins, toys, etc.
  11. Every 6 months, set 2 personal goals for growth in Diversity Equity Inclusion work, and share progress.
  12. Participate in monthly discussions or learnings about Diversity Equity Inclusion topics at team meetings.

Licensure / Credentials

This position must be able to pass a background check and FBI clearance check. This position requires valid driver’s license, and access to reliable transportation.

Work Environment

This hybrid role is for a Minnesota or Wisconsin based employee who can be in-office 2-3 times a week in Oak Park Heights, MN. The EVOLVE workspaces are semi-private, and open air with partitions separating workspaces. The EVOLVE office is a pet-friendly workplace. All employees are provided with a laptop to work from home, provided the employee maintains high-speed internet and cell phone service. Your home workspace must be conducive to performing your role. Whether at home, or at the office, this role requires sitting for extended periods of time at a desk, while utilizing a computer to complete work. The hours of this role typically fall between 9:00a-5:00p with evening hours as needed to facilitate client meetings, and two full weekend camps at which attendance is required (Friday-Sunday) annually. This role occasionally has weekend hours for training or outreach. Local travel is required for groups, outreach and camp events with mileage reimbursement provided.

This role is the main steward of the organization’s people, processes and resources. This role directly leads the areas of accounting, building operations, human resources, and information technology for a small nonprofit organization. This role collaborates with a managed IT service provider, and additionally partners with ADP as a professional employer organization (PEO) to assist with HR administration, guidance, employee benefits, payroll, and regulatory compliance. This role is a great fit for a finance professional who is interested in expanding outside of the accounting department.

Essential Functions
1.Perform General Ledger accounting, including journal entries, supporting schedules, and fiscal period close.
2.Report weekly to leadership team on key financial indicators, present financial reports to the board monthly.
3.Provide oversight and monitoring of accounts receivable and accounts payable processes and recordings.
4.Lead year end processes, including: FYE closing, preparing 1099s, engaging auditors, and form 990 review.
5.Monitor the organizational cash flow, plan for liability use and repayment, ensure adequate cash reserves.
6.Oversee budgeting and financial forecasting for effective fiscal planning and evaluation of programs.
7.Liaise with the board treasurer and attend monthly board finance committee meetings.
8.Participate in weekly meetings of agency leaders, engage in solutions-focused problem-solving process.
9.Supervise department employees and volunteers directly providing AR, AP, HR, and IT support to the agency.
10.Manage relationships with high level business partners, including ongoing providers of HR and IT support.
11.Oversee the management of physical assets and infrastructure, plan for repairs and replacements as needed.
12.Continually assess and ensure adequate insurance coverage for the agency’s property, people and programs.
13.Advise on vendor sourcing and review contracts & agreements, assist in the vendor selection process.
14.Coordinate the investigation and reporting of incidents, accidents, injuries, and grievances.

Desired Characteristics and Experience
This position must have at least 3 years of experience as a financial analyst and/or a general accountant. Experience in nonprofit accounting and finance at a leadership level strongly desired, as well as experience in managing and leading staff. Enjoy problem solving and engaging with others in collaborative solutions. Familiar with or able to effectively learn QuickBooks Online accounting software.
